Job Description

We are a missiondriven community development organization committed to strengthening local neighborhoods through affordable housing, economic advancement, financial education, and supportive community services for over 30 years. Its center provides renters, homeowners, and prospective buyers with guidance and tools that promote longterm housing stability and overall financial wellbeing. The Front Office Administrative Assistant role serves as the first point of contact at the main office, ensuring smooth daily operations and delivering high-quality customer service and administrative support in a fast-paced, mission-driven environment.

 

POSITION SUMMARY

This is a permanent position that includes a 6-month training period. The Front Office Administrative Assistant reports to the designated supervisor and provides administrative and office support to multiple departments within the organization. As the first point of contact for the organization, this position is responsible for creating a positive and professional experience for visitors, clients, partners, vendors, and callers while ensuring the daily operations of the office run smoothly.

JOB DUTIES:

  • Serve as the first point of contact by greeting visitors and directing them to the appropriate staff member.
  • Answer, screen, and route incoming telephone calls in a courteous and professional manner.
  • Manage the organization's main reception area, ensuring a welcoming and professional environment.
  • Schedule meetings, appointments, and conference rooms.
  • Coordinate calendars and assist with meeting logistics.
  • Prepare correspondence, forms, reports, and other administrative documents.
  • Maintain electronic and paper filing systems.
  • Copy, scan, print, and organize documents as requested.
  • Order and maintain office equipment, supplies, and inventory.
  • Coordinate equipment maintenance and service requests.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Assist with outgoing mail and shipping.
  • Support data entry and record maintenance.
  • Assist departments with special projects and administrative assignments.
  • Maintain confidentiality of sensitive information.
  • Support office operations and administrative functions as needed.
  • Perform other duties as assigned.

 

MINIMUM QUALIFCATIONS:

  • Minimum of one (1) year of experience working in an office setting performing similar administrative and customer service duties.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Personal qualities of integrity, professionalism, reliability, and a commitment to the organization’s mission of serving low- and moderate-income communities.

 

OTHER QUALIFICATIONS:

  • Experience working with diverse communities and underserved populations is highly preferred.
  • Bilingual skills (Spanish, Cantonese, or other languages commonly spoken in San Francisco) are highly desirable.

 

EDUCATION:

High School diploma or equivalent required; Associate's degree or higher preferred.

WORK SCHEDULE:

  • Monday-Friday, 35 hours per week, In-office
  • Occasional evening or weekend work may be required to support organizational events or business needs.
